1. What are the pre requisites for initiating the eProcRev exercise?

The key resources involved in the process improvement journey should have the understanding of the CMMI® model and the process areas till level 2/3 (whichever is applicable).

All the process documents should be made available for the review at one time and not in parts, like project management documents are given on day 1 and engineering document on day 5. This way the cross linkages between the artifacts can also be checked.

Clearly defined and documented roles and responsibilities followed in your organization should be made available.

2. What are the responsibilities of both the parties in the eProcRev exercise?

QAI Responsibilities:

Assign a competent consultant to do the document review.

Provide tentative time frame for completing the eProcRev exercise. Typically it would take two weeks to complete the document review from the time of receipt of documents; however, the actual estimate will be done and shared at the time of receipt of the documents.

Prepare a report containing the gaps in the organization’s processes w.r.t. CMMI ver 1.2 requirements.

Resolve queries after the submission of the report.

Client Responsibilities:

Assign a Single Point Of Contact (SPOC) who would liaison with the QAI consultant/coordinator.

Upload the process documents to be reviewed, provide organizational profile and detailed roles and responsibilities.

Provide required infrastructure for conducting the query resolution session like equipment for audio-conference, video-conference etc.

Respond to in-process queries, which may arise while the review process is ongoing.

3. How much time is required to complete the eProcRev exercise?

Typically an online document review exercise would take about two weeks for completion from the date of receipt of the documents. However, the actual estimate will be done and shared on receipt of the documents, and the consent from the client would be taken before initiating the work.

4. Individuals in what roles need to be involved in the eProcRev activity?
 

QAI: A program coordinator and consultant would be working on the process document review exercise.

 

Client: SPOC (preferably a member of the quality team) who should be able to coordinate with the quality team, project managers, process definition team etc, whenever required.

5. We are into maintenance projects. Can eProcRev apply to our projects?

QAI’s eProcRev service applies to traditional project life cycles like waterfall as well as other approaches like RAD, prototyping, maintenance, enhancements, service based, as well as product based lifecycles.

6. We are following continuous representation of CMMI model and not the staged representation. Can we use the eProcRev service?

QAI’s eProcRev service supports both the representations of CMMI, be it Continuous or Staged. However, in case of continuous representation the organization needs to clearly specify the selected Process Areas (PA) and the target capability level for each PA.

7. Can I use this service for doing eProcRev against any other quality model / framework?

QAI’s eProcRev service has been specifically designed to perform document review against SEI’s CMMI model only.

8. What are the deliverables of the eProcRev service?

At the end of the process document review exercise you would get:

A report containing the gaps in the organization’s processes w.r.t. CMMI ver 1.2 requirements.

A query resolution session of four hours with the QAI consultant.

9. What are the limitations of the eProcRev over the conventional onsite process document review?
 

The output of both the activities in terms of the deliverables and value is the same. The only limitation is that the organization looses on the team learning that happens when all the team members participate in the process document review exercise.

 

Online document review service is available only till CMMI Level 3, it does not cover Level 4 and Level 5. To conduct process document review for high maturity, face-to-face interactions are necessary.

11. How do you maintain the confidentiality of the data supplied?

QAI will sign a standard Non Disclosure Agreement (NDA) with the client before initiating the process document review activities. In case the client wants QAI to sign any additional clauses in the NDA, the same can be done based on mutual agreement.

12. Why does the online document review service available till level 3 only?

For process document review of high maturity practices the amount of data required to perform a good process document review is huge, it is important to understand the organization in more detail including the business goals, objectives etc and that can be effectively gathered and understood only through face-to-face interactions.
