1. What are the pre requisites for initiating the gap analysis exercise?

The participating teams should be aware of the objectives of the initiative

Process Engineering Teams, Management and Functional Leaders should understand the practices involved

Resources to perform the gap analysis are available

Infrastructure required to conduct online gap analysis is available

Basic understanding of the CMMI® model and the Process Areas till level 2/3 is acquired

Waiver: The last prerequisite can be waived off in case the organization is opting to take the Overview to CMMI® training.

2. What are the responsibilities of both the parties in the eGAP exercise?

QAI Responsibilities:

Assign a competent consultant to do the gap analysis

Plan the gap analysis exercise in consultation with the client’s Single Point of Contact (SPOC)

Conduct gap analysis for the current practices/processes - Conduct interviews and document/Quality Management System (QMS) review, as needed

Prepare the gap analysis report and consolidate final findings and recommendations

Brief Senior Managers/ relevant stakeholders

Client Responsibilities:

Assign a SPOC, preferably a member of the quality team, who would liaison with the QAI consultant/coordinator

Organize resources for interviews

Provide organization standard definition of process, policy and other relevant documents/ project artifacts for doing the gap analysis

Ensure availability of the core team

Provide required infrastructure for conducting the gap analysis activities

SPOC would be responsible for managing the communication with the relevant team members

3. How much time is required to complete the online gap analysis exercise?

On an average an online gap analysis takes about 7 - 10 working days. However, the time taken to complete the online gap analysis may vary with the maturity level being targeted, the additional facilities being availed and the pace of the organization.

4. Individuals in what roles need to be involved in the gap analysis activity?

QAI: A program coordinator and consultant would be working on the gap analysis.

Client: Single Point of Contact (SPOC) who in turn would be required to coordinate with the senior management, quality team, project managers/ project leads and representatives from HR, Training and Purchase department on need basis.

5. We are into maintenance projects. Can eGAP apply to our projects?

QAI’s eGAP service applies to traditional project life cycles like waterfall as well as other approaches like RAD, prototyping, maintenance, enhancements, service based, as well as product based lifecycles.

6. Can we use this service for doing gap analysis against any other quality model / framework?

QAI’s eGAP service has been specifically designed to perform gap analysis against SEI’s CMMI® model only.

7. We are following continuous representation of CMMI® model and not the staged representation. Can we use the eGAP service?

QAI’s eGAP service supports both the representations of CMMI® be it Continuous or Staged. However, in case of continuous representation the organization needs to clearly specify the selected Process Areas (PA) and the target capability level for each PA.

8. What are the deliverables of the eGAP service?

At the end of the gap analysis exercise you would get a comprehensive report that provides details on the strengths and weaknesses of the existing processes. This report also provides a snap shot of where the organization stands vis-à-vis CMMI® Level 2/3 requirements and future implementation and improvement areas as per CMMI® PAs.

9. What are the limitations of the online gap analysis over the conventional gap analysis service?

The output of both the activities in terms of the deliverables and the value is the same. The only limitation is that the organization looses on the team learning that happens when all the team members participate in the gap analysis together at the same time.

Online gap analysis service is available only till CMMI® Level 3, it doesn’t cover Level 4 and Level 5. As for high maturity gap analysis the amount of data required to conduct gap analysis is huge and that can be effectively gathered and understood only through face-to-face interactions.

11. How do you maintain the confidentiality of the data supplied?

QAI will sign a standard Non Disclosure Agreement (NDA) with the client before initiating the document review activities. In case the client wants QAI to sign any additional clauses in the NDA, the same can be done based on mutual agreement.

QAI has an experience of over a decade and a half, during which we have worked with companies like Accenture, Deliotte, Wipro, CSC, IBM, Intel etc. We understand the value of protecting the client’s data and make sure that we take all possible measures to ensure the same.

12. Why is the eGAP service available till level 3 only?

13. What is the purpose of the action planning activity?

The purpose of the action planning activity is to develop a strategic action plan for the process improvement program, based on the findings of the gap analysis. This strategic action plan is expected to provide guidance and direction to the Process Improvement program till the successful achievement of the desired level of maturity/ capability. It provides clear business reasons for conducting the Process Improvement program and links it to organization’s vision and business plan.
